Job Title: College Information Systems Officer

Location: Hulme, Manchester

Salary: £32,259 – £34,391 per annum, pro-rata

Job Type: Full Time, Permanent

Working Hours: 37 hours per week

The Role:

We are recruiting for the role of College Information Systems Officer to assist the CIS Manager with the maintenance of the College database and the provision of timely, accurate and user-friendly data.

Main Duties and Responsibilities:

  • To process data concerning student, enrolment and destination details into the central MIS database
  • To process course and timetable data into the MIS database
  • To continually update departmental procedures and document any new initiatives.
  • To assist with the maintenance of the College database to ensure the accuracy and availability of all student data required for the efficient management of the College
  • To query the college databases in order to produce reports and datasets
  • To assist the CIS Manager with retrieval and validation of data for audit, statistical or management purposes
  • To provide support to help with College events as required
  • To create Columbus usernames and passwords for new staff and resetting passwords for current staff in line with IT security regulations
  • To have a basic knowledge of government funding methodologies and achievement requirements
  • To provide regular feedback in relation to the progress of tasks completed, those outstanding and progress towards departmental priorities, targets and deadlines
  • To ensure familiarity with and adherence to all policies and procedures and data systems relevant to the post
  • To support the delivery of datasets to external bodies

  • To undertake staff development where appropriate
  • To take part in the College’s Appraisal Process

Deployment of Staff

  • To ensure that appropriate arrangements for cover are made when absent
  • To work as part of a team and to ensure effective working relations

Quality Assurance

  • To ensure the effective operation of quality assurance systems
  • To contribute to the process of the setting of targets within the department and to work towards their achievement
  • To assist with the implementation of College quality procedures, especially through contribution to the self-assessment process

Communications

  • To ensure familiarity with the department’s aims and objectives
  • To liaise with relevant external bodies as appropriate

Marketing and Liaison

  • To contribute to the College liaison and marketing activities
  • To link with external agencies as appropriate

Management of Resources

  • To contribute to the maintenance of an attractive working environment

Other

  • To support the aims and objectives of the College
  • To attend regular team meetings and other internal and external meetings as required
  • To undertake any other duties, the Principal or his designated alternate may reasonably direct from time to time within the context of the Loreto College contract
  • This Job Description is subject to periodic review and amendment

About you:

Experience:

  • Experience with computerised systems and a proven ability to use and adapt quickly to new technology

Desirable:

  • Experience of working in an educational establishment
  • Experience of working in a busy office in a related role
  • Knowledge of UNIT-e

Skills and Knowledge:

  • Excellent IT skills including the ability to use MS office applications
  • Numerate with the ability to analyse data and produce easy to understand reports
  • Excellent attention to detail

Desirable:

  • Good knowledge of SQL
  • Knowledge of Microsoft SQL Server or other RDBMS
  • Knowledge of Power BI
  • Knowledge of SQL Server Reporting Services

Qualifications:

  • Educated to degree level or equivalent, or substantial relevant experience that demonstrates a high order of literacy, numeracy and analytical skills

  • Enhanced DBS Disclosure Clearance
  • Medical Clearance
  • Ability to meet the requirements of the Asylum and Immigration Act (to be legally employed to work in the UK)
