Job Title: Concerts Manager and PA to Director of Music

Location: Dulwich, SE London

Salary: £28,000 – £30,000 pro rata depending on experience

Job Type: Term time only (with some additional days), Permanent

Working Hours: 37.5 hours per week, Monday to Friday, with a one-hour unpaid lunch break per day. Normal working hours are 8:30am to 5.00pm.

Closing Date: 4.00pm on Monday 25 April 2022.

The Administrative Office is responsible to the Director of Music for the delivery of the Department’s organisational systems. The Concerts Manager & PA to the Director of Music works on behalf of the Director of Music and will represent the College’s Music Department. The position is full time during term time and for 25 days outside of term time. Flexibility during term is required in order to meet the needs of the Department’s concert schedule. The 25 days outside of term time will be spent working with the Marketing & Communications office and monitoring the administrative matters of the Music Department.

About the role

Director of Music

  • To prepare and send all correspondence to parents, pupils and staff
  • To prepare timetables for Music Scholarship and Choral Scholarship auditions
  • To maintain the Department’s events calendar and coordinate with the College calendar (SOCS and SOCS Music)
  • To assist with advertising and liaise with the College’s Marketing Department
  • To meet with the Director of Music once each week
  • To manage the diary of the Director of Music
  • To manage e-mail and phone communication

Concert Management

  • To book concert venues on behalf of the Director of Music and coordinate with the Master’s Office, Marketing & Communications and Development & OA offices
  • To liaise with Chair of Founder’s Day Committee for the Founder’s Day concert
  • To keep an up-to-date diary of all concert dates up to two years in advance.
  • To collate and produce concert programmes
  • To ensure all rehearsal and concert details are effectively communicated to parents of boys through DulwichPost
  • To ensure accurate lists of boys giving consent to take part in rehearsals/concerts
  • To book coaches as necessary
  • To assist with the preparation of Outings Form and Risk Assessment for the Director of Music when necessary
  • To liaise with Master’s Office, the Master’s wife and Director of Music regarding guest invitations
  • To liaise with the concert venues Box Office regarding ticket sales or to organise the sale of tickets where necessary
  • To arrange for venue set-up as appropriate and in consultation with the Director of Music
  • To order interval refreshments and liaise with the Director of Music regarding gifts for Soloists
  • To manage concert money with the Director of Music and Finance office where necessary
  • To hire music for concerts as necessary

Finance & Visiting Music Teachers

  • To liaise with HR regarding all VMT documentation
  • To ensure that the Music School Manager has all the necessary information about VMTs for the Music Database
  • Together with the Music School Manager, to authorise fee adjustments for parents of Music Scholars and Exhibitioners
  • Together with the Music School Manager, to prepare a spread sheet of charges for Heads of Departments’ pupils each term (to be charged to parents)
  • To pass all signed invoices for payments to Finance office

Marketing & Admissions

  • To work with the Marketing & Communications Office on major concert projects
  • To work with the Marketing & Communications Office on all publicity of the College’s Music Department
  • To liaise with the Admissions Office regarding visits to feeder schools
  • To assist the Director of Music with the organisation of visits to feeder schools and visits to the College by feeder school Directors of Music
  • To work with the Admissions Office regarding the tracking of boys who aspire to be Music Scholars at the College

Further Administration

  • To coordinate the “front of house” on audition days
  • To show visitors around the Department where necessary
