Job Title: Estates (Facilities) Administrator

Location: Portsmouth

Salary: £21,979 to £22,800 per annum

Job type: Full time – Permanent

The Portsmouth Grammar School is a leading co-educational school located in the historic heart of Portsmouth.

The Role

The Estates Administrator reports to the Estates and Operations Bursar and is responsible for supporting the successful day-to-day operation of the Estates Department.

The start date will be as soon as possible and no later than 1st September 2023.

The hours of work will be 37.5 hours per week, Monday – Friday 8.30am to 4.30pm each day

Main Responsibilities

  • Running the school’s Safe & Operational Reactive Maintenance System (Reactive (24hr) (7-14 Day). This includes raising work orders, Estates budget, Estates Help Desk, Maintenance planning & Project management.
  • System administration – adding & sorting users
  • Placing and coordination of orders to contractors
  • Keeping space data up to date
  • Administration of training documents and records (Midas / First Aiders all held on Records for Buildings)
  • Coordination of the department training requirements (for Maintenance, Cleaning, Management & Caretaking Staff)
  • To assist as the first point of contact for all visitors to the Estates Office, welcoming them at the front office and escorting them on site where necessary
  • To be the first point of contact and triage all job requests into the respective owner in the Estates team
  • To answer the telephone and direct calls as appropriate

The Ideal Candidate

  • Experience of working in an administrative role
  • A good standard of education, with excellent spoken and written English
  • Excellent IT skills and able to use and learn a variety of software packages
  • Highly organised and with excellent attention to detail
  • A flexible and proactive attitude to the role, with the ability to respond promptly and with initiative to follow up on enquires and to meet reporting deadlines
  • A willingness to undertake all training required by the school including safeguarding training
  • Experience of using databases and management information systems (Desirable but not essential)
  • Qualifications in a finance or business administration related discipline (Desirable but not essential)
  • Experience of working with young people in an educational setting (Desirable but not essential)
