The Candidate:

The successful candidate will be motivated with the ability to work innovatively. They will have a keen eye for detail and be able to engage well with all relevant stakeholders.

The Executive Assistant will be responsible for minuting meetings, including management team and the wider team’s minuting requirements. They will take responsibility for managing the emails, meetings, and communications of the Director. They will provide structure to the reporting and organisation of the department’s key reports and actions. They will provide analysis and be able to present key priorities, from a data driven perspective.

Duties and responsibilities:

  • Support the Director of Human Resources in the most efficient manner possible, optimising their time daily. This may include, but is not limited to, support with diaries, communications, meetings and organising travel and expenses
  • Minuting meetings of the management team and the wider team’s minuting requirements
  • To organize and monitor a regular suite of reports for the wider team and organisation, including creating Human Resource statistical reports
  • Provide effective file structures for easy retrieval and monitoring of key data
  • Notify, report, and chase outstanding requirements for all operations
  • Assist and monitor staffing and recruitment administration inline with organisational requirements
  • Assist in collating, presenting and analysis of key departmental statistics
  • Manage communications between the Director of Human Resources and all relevant stakeholders
  • Build new processes to ensure effective monitoring and compliance with internal requirements
  • To clearly demonstrate and observe confidentiality and respect for boundaries
  • Promote equality, diversity and Migrant Help values in all actions and activities

The experience and skills you need:

  • Proven experience of supporting a busy senior leader within a busy organisation
  • A good overall insight into the processes and functions within Human Resources
  • Demonstrable general administrative experience including minuting meetings, report creation, diary management and organising multiple email accounts
  • Excellent computer skills, particularly of MS Office applications – Especially EXCEL
  • Responsible and responsive attitude to being accountable for allocated tasks

What else to expect:

  • The working pattern will be Monday to Friday between the hours of 9am and 5pm, however flexibility is required should there be a business need for work outside of contracted hours
  • Flexibility to travel on occasion will be required to attend meetings
