Experienced Secretary / Admin Assistant required for busy probate/private client department answering to the managing partner.

The role:

Providing administrative support to fee earners.

Key Responsibilities and Accountabilities:

  • Opening and creating new files.
  • Sorting new probate clients’ paperwork.
  • Entering client details on the case management system.
  • Utilising the Firm’s case management system to best effect.
  • Complying with the Firm’s various policies and procedures contained in the office manual.
  • Proof reading of documents.
  • Issuing first letters.
  • Attending will signings with fee earners in or out of the office.
  • Preparing forms on Oyez.
  • Submitting Land Registry applications online.
  • Keeping clients updated as to progress.
  • Sending and receiving emails.
  • Preparing letters, memos and bills.
  • Typing complex documents.
  • Copy typing.
  • Filing.
  • Audio typing on digital audio system.
  • Maintaining diaries.
  • Making and taking telephone calls.
  • Taking messages.
  • Seeing clients in reception when necessary.
  • Dealing with new client enquiries.
  • Inputting timesheets onto case manager
  • Photocopying.
  • Booking house clearances, gardeners etc.
  • Organising postal redirections.
  • Completing cashier slips for cheques, cash and bank transfers or dealing with them via Partner.

  • Good with English (verbally and written)
  • Proficient in using a computer (especially Word, Excel and MS Office)

  • Calm under pressure
