Job Title: Finance Assistant

Location: Notts Gymnastics Academy, Edwalton, Nottinghamshire

Salary: £21,674 – £24,174 Pro-rata

Job Type: Part time 10-15 hours per week

About the role:

Notts Gymnastics Academy is a large club dedicated to providing first class levels of service for our substantial membership. The role of Finance Assistant is to work in conjunction with the Business Support Team to fulfil day-to-day business functions. The Finance Assistant will be responsible for finance administration of the Academy whilst promoting a high standard of business ethos within the administrative function of the Academy. An ability to work on your own initiative, and as part of a team will be essential. Some flexibility in your approach to work will be required, with a commitment to occasional evening and weekend working, to support Academy operations as and when necessary.

Main Responsibilities:

Weekly Accounts Administration

  • Handle administration of the E-Banking and accounting software to include:
  • Bank reconciliation
  • Cash book maintenance
  • Maintaining purchase and sales ledgers
  • Credit control (chasing sales ledger invoices)
  • Invoice processing
  • Processing expense requests
  • Raising sales invoices

Monthly Accounting Procedures

  • Process month end nominal journals
  • Month end balance sheet reconciliations
  • Maintaining the fixed asset register
  • Generate reports for the Finance team to allow timely decision making

Finance Administration

  • Support both external and internal audit processes when needed.
  • Liaising with third party providers, customers, and suppliers
  • Updating and maintaining procedural documentation
  • Work with the Business Support Manager to produce the annual charity accounts
  • Communicate and resolve general enquiries via email or phone, escalating where appropriate, to deliver strong customer service
  • Review and improve processes
  • Keep up to date with changes in financial regulations.
  • Other duties as required to support the functionality of the Business Support Team
  • Be responsible for data protection in your area and observe and follow the principles of the GDPR Regulations and respect the confidentiality of the role.

Other Duties / Personal Responsibilities

  • Accountable for compliance with all BG and NGA policies and procedures including but not limited to Finance, HR, GDPR, Health and Safety and the Standards of Conduct.

  • Present a positive image of Notts Gymnastics Academy (NGA) (on and off site) and provide a professional level of customer service to the public by acting in a responsible, welcoming, helpful and professional manner at all times.
  • To be an ambassador for NGA

You must be prepared to:

  • providing some flexibility in the hours worked each day.
  • Undertake any other duties as required by the Academy, Management Committee or Board of Directors, to ensure the smooth running of the Academy.
  • Undertake general duties to maintain standards of hygiene and cleanliness of all areas, at all times.
  • Promote the Health, Safety & Welfare of all users following British Gymnastics / NGA policies & procedures.

About you:

Qualifications:

Essential

  • Full British Gymnastics Membership (can obtain before starting in post)
  • Safeguarding & Protecting Children certificate that is approved by BG (UK Coaching)
  • Valid Enhanced DBS certificate
  • Proven and successful experience of relevant financial processes
  • Evidence of analytical skills and the ability to summarise & present findings
  • Independently able to propose solutions to challenges
  • Good organisation and proven administrative abilities, understanding the importance of deadlines and can demonstrate the organisational, written and oral communication skills required to work within a wider team
  • The ability to deal with people at a range of levels with evidence of having provided a courteous and efficient service to the public
  • Good literacy & numeracy skills, educated to minimum GCSE (or equivalent) grade C in English & Maths
  • Fluency in the use of IT including Microsoft Office, Excel, Word, PowerPoint

Desirable

  • Relevant professional qualification e.g. Finance / Accounting,
  • First Aid Certificate
  • Valid driving licence
