Job Title: Finance Team Leader

Location: Waterlooville

Salary: Support Staff Grade D1 £21,403 to D5 £24,055

Hours: Monday to Thursday 8:30am – 4:30pm 8:30 – 4pm Friday

Job Type: Permanent, Full time

The Role: The Trustees are seeking to appoint a Finance Team Leader to join our hardworking, committed and enthusiastic team. The position is a pivotal part of the management of the finances and other resources provided to support the Finance Team. The role will require the successful candidates to liaise with the Teachers and Heads of Department as well as other members of the support staff.

Key Responsibilities and Accountabilities:

  • Administer journals for trips to ensure supply and admin fees are charged appropriately to each trip.
  • Administer journals for Pupil Premium students on trips, if relevant
  • Assist with reconciliation of trips
  • Lettings: pass on bad debt information to letting administrator on a monthly basis to chase for overdue payments.
  • Oversee sales from school shop, recording onto SCOPAY and ensuring stock is ordered as appropriate
  • To administer the Petty cash account ensuring all claims comply with audit guidelines and all necessary documentation is obtained.
  • To distribute cash to claimants within one week of claim being made and ensure signatures are received for all cash handed out.
  • To enter all claims onto financial system and reconcile the cash tin on a monthly basis
  • Assist in the maintenance of Gift Aid records and ensure timely posting of parent donations
  • Assist in the preparation of Gift Aid claim forms for submission by Finance/ Deputy Finance Manager
  • Assist with the input of monthly and ad hoc journal transfers as directed
  • Reports – Produce trip balance reports and send to trip leaders on a weekly basis. Reconcile supplier statements with financial system on regular basis
  • Take payments from students when Finance Assistant not present
  • Liaise with D of E Co-ordinator to ensure all payments received from students

Administration:

  • Supplier details – create new suppliers and amend details of existing ones
  • Produce spreadsheets as and when required.
  • Any other duties commensurate with the position as directed by the Finance Manager or Deputy Finance Manager.

Systems:

  • Ensure SCOPAY is regularly updated with School Management Systems data
  • Ensure parents are distributed with appropriate link codes to access SCOPAY

Customer Service:

Act as the first point of contact for enquiries relating to finance, responding within standard procedures or referring the enquiry to an appropriate destination

The Candidate:

  • GCSE (or equivalent) in English and Mathematics
  • AAT Level 3 Certificate or equivalent/higher qualification
  • Previous experience of working in a finance department of an academy school
  • Sound administrator with attention to detail
  • Working with a range of financial software programmes, MIS and Microsoft Applications
  • Articulate, literate and numerate
  • Excellent interpersonal and communication skills (verbal and written)
  • Organisational ability and able to manage time to prioritise tasks and meet deadlines
  • Appreciation of the issues working around young people and prepared to train to gain up to date knowledge of relevant legislation and guidance in relation to working with, and the protection of children and young people.
