Job Title: HR Assistant

Location: York

Salary: £20,000-£23,000 per year – Depending on Experience.

Job type: Full time, Permanent. 8.00am-5.00pm, Monday-Friday. 40 hours per week. Occasional overtime may be required.

We are a multi-disciplined manufacturing facility spread over 14,000Sqm of estate. We are based in four giant hangars that house engineering, fabrication, woodwork, finishing and a specialist manufacturing facility.

The Role:

The HR Assistant will provide key administration support and deal with a wide range of tasks which will include recruitment and onboarding, absence management, updating personnel files, staff performance and reviews, training and development, disciplinary matters and general record keeping.

Key Responsibilities:

  • Processing new starters, leavers and contractual changes
  • New starter IT setup and administration
  • Logging holidays on our internal system, ownership of the holiday request inbox
  • Recruitment administration, including arranging interviews and note taking in interviews
  • Timesheet administration for payroll and raising PO’s
  • Booking and setting up agency workers on our internal system
  • Scanning in annual reviews, assisting in the review process
  • Updating the jobs board weekly
  • Responding to HR emails
  • Drafting letters and correspondence
  • General administration and filing
  • Recording and monitoring absence levels, processing absence forms
  • Inputting training records and certificates, scanning in documentation, supporting with training programmes and presentations
  • Conducting training audits
  • Issuing induction forms and inputting on the internal system
  • General office support & administration, including answering incoming calls and assisting with client visits and other departments as required

Person specification:

Qualifications

  • A general education to include 5 GCSE passes at Grade C or above (including Maths and English), or an equivalent educational qualification, or relevant experience (Essential)

Knowledge

  • Knowledge of administrative procedures & processes used in a busy office (Essential)
  • Knowledge of HR policies and procedures (Desirable)
  • Knowledge of basic employment law (Desirable)

Skills, Experience, Abilities & Competencies:

(Essential)

  • Strong administration experience
  • Competent in the Microsoft Office suite including Word, Outlook and Excel
  • Excellent time management skills and the ability to effectively prioritise own work and follow procedures in order to produce work to a high standard, to required deadlines

(Desirable)

  • Previous HR experience
  • Experience of using internal databases
  • CIPD Level 3 desirable but not essential
