Job Title: Human Resources Officer

Location: Northampton

Salary: £25,000 per annum

Job Type: Full Time

Our residential care services are based in Northamptonshire, Bedfordshire and Leicestershire, offering care and support to adults with learning disabilities, mental health needs, dementia and autism, helping those in our care to reach their fullest potential and live a more independent life.

Job Role:

Working closely with the HR Manager and company directors to ensure compliance with Employment Law Requirements and facilitating achievement of company targets and goals.

Key Responsibilities:

Recruitment (Onboarding & Induction)

  • Liaising with Managers on their recruitment needs
  • Produce and update a vacancy list and distribute to senior management
  • Create and publish job adverts
  • Sourcing and screening CV’s of prospective applicants
  • Arrange and conduct telephone interviews
  • Arrange and conduct 1st and 2nd stage interviews for all junior staff
  • Arrange and conduct Head Office and Home Inductions for all new recruits
  • Checking validity of ID and Visa’s
  • Requesting Disclosure And Baring Services (DBS previously CRB checks)
  • Responsible for the input and registration of employees on Kronos (biometric clocking in system) and Sage (payroll system) ensuring all relevant information is included (contact details etc.) and are up to date across both software
  • Calculating annual leave entitlements and communicate this information to the respective Home Managers and payroll
  • Diarise 3 and 6 month probation dates and inform CHM when due

Payroll Process

  • Compile Monitoring Sheets for Head Office. The information gathered is forwarded to the Payroll Team.
  • Prepare payroll information as it is gathered. Payroll information must be sent by the cut-off date listed in the Employee Handbook. This include:
    • List of starters relevant to the current pay cycle
    • List of leavers relevant to the current pay cycle
    • Contract variations
    • List of employees eligible for SSP (statutory Sick Pay)
    • List of employees eligible for SMP (Statutory Maternity or Paternity Pay)
    • Notification of National Insurance Numbers received
    • Notification of change in address or bank account details
    • Deductions relevant to student loans advised by HMRC
    • Notify of any referrals (recommend a friend scheme)
    • Notification of Tax Code changes, as reported by HMRC
    • NOW-Pension opt out
    • Advise payroll of any deduction applicable to the final pay for leavers

Employee Relations

  • Maintaining absence recording and monitoring systems.
  • Sending replies to all resignations
  • Liaising with the Training Manager to confirm training costs
  • Conducting Capability and Disciplinary hearings, recording and ensuring that the correct procedure is carried out. Drafting and issuing written warnings, in conjunction with our Employment Advisors, and dealing with dismissals. Consulting the HR Manager and Directors wherever necessary and appropriate.

Training Administration

  • Maintaining training records for all employees
  • Ensuring all training certificates are up to date
  • In conjunction with Procurement Manager liaising with Care Home Managers regarding the training needs of all staff
  • Ensuring all CHM’s have responded to training needs requests
  • Sending out invitation e-mails and logging responses
  • Creating attendance list for course tutors
  • Logging and filing of new training certificates
  • Maintaining the training folder

General Duties

  • Vetting staff rotas prepared by Home Managers on a shift to shift basis and forwarding to Payroll
  • Vetting Monitoring sheets prepared by Home Managers and forwarding to payroll
  • Completing annual audits of the employee files
  • Constant audit of starter files to ensure speedy compliance
  • Designing and maintaining a system to monitor staff supervisions in accordance to CQC requirements Keeping supervision board (new white board) up to date (Managers, Team Leaders and Senior induction evaluation date, 3 and 6 month probation dates etc.)

Person Specification:

  • Previous experience in similar role
  • Computer literate – familiar with Microsoft package
  • Able to work comfortably in fast pace environment
  • Creative
