Job Title: Human Resources & Training

Main Duties & Responsibilities:

Human Resources

Recruitment

  • Administer and manage all aspects of recruitment life cycle, working closely with relevant Heads of Department/Directors.
  • Produce job adverts and upload to relevant online job board / HR noticeboard / Higgins Hub
  • Liaise with Agencies and process invoices
  • On-boarding/new employee induction
  • Organise and manage DBS checks

Change of Circumstances/Leaver Documents /Healthcare / Pension

  • Write to employees to confirm changes to terms and conditions and update database
  • Input changes to Healthcare/Pension Scheme on database

Sickness

  • Maintain sickness records of employees, ensuring relevant documentation is received
  • Liaise with Occupational Health Nurse as and when required by booking appointments for employees and completing referral forms

Maternity/Paternity

  • Issue relevant letters to employees at trigger points

Temporary Staff

  • Arrange booking of temporary staff and process invoices from agencies

Reports

  • Produce Management Reports as and when required
  • Assist Payroll with Gender Pay Gap Reporting
  • Issue monthly change of address and Pensionable Age Reports to Payroll

Letters/Meetings:

  • Construct and type letters as required
  • Attend meetings and take notes as and when required (Grievance/Disciplinary/Appeal Meetings, monthly HR Review meetings etc.)

HR database

  • Input of days/hours worked for employees
  • Keep database up to date with any changes to employees terms and conditions
  • Administer any configuration and security needs (ie add new working patterns, locations, etc.)
  • Maintain and build new requirements in the system e.g. workflows etc.

Appraisals – Probationary

  • Monitor probation periods and produce letters for employees’ upon receipt of their completed review forms.

General HR

  • Listen to staff issues and, where appropriate, give advice
  • When necessary, discuss appropriate response/advice to be given, with Director or HR
  • Monitor/manage incentive payments
  • Regularly review and update policies and procedures
  • Work closely with payroll to ensure all relevant documentation is processed on time.
  • Undertake any other general HR duty as and when requested to do so

Training & Development

Courses & Qualifications

  • Book courses and arrange catering where necessary
  • Maintain all training matrices and schedules, ensuring expiry dates are monitored
  • Update training and qualification records on iTrent
  • Ensure all eligible employees have a CSCS Card, arrange where necessary
  • Complete payment authorisations

Budgets & Grants

  • Prior to budget meetings in April, circulate ‘Budget pack’ to each HoD
  • Attend Budget meetings and input requirements for each department onto the T&D Budget Plan
  • Submit claims through the CITB portal for any eligible courses.
  • Maintain a monthly record of Grants received against the annual grant budget
  • Complete all Construction Skills Grant Application forms with supporting documents and submit

Appraisals – Annual

  • Send Appraisal email to Construction Directors/Head of Departments
  • Collate and maintain record of completed appraisals
  • Input the employee’s training needs onto HR database

Management Trainees

  • Maintain and update Management Trainees listing.
  • Liaise with new/current trainees and relevant universities/colleges to ensure they are put on correct qualification.
  • Issue sponsorship letters as and when required
  • Inform CITB of any new trainees to ensure grant payments are received
