The Estate Office:

The Estate Office sits at the heart of Holkham Park and is Holkham’s general administrative hub. We support all the estate-wide businesses as well as being the first point of call for enquiries and guests.

Job description:

As a receptionist you will be the first point of call for enquiries and visitors to the busy Holkham Estate Office. Alongside great customer service and time management skills you will also have absolute discretion and trustworthiness. Your keen eye for presentation will be invaluable at ensuring the Estate Office and board room are looking fantastic at all times, while your methodical multi-tasking skills will be made full use of with various administrative duties.

This role is permanent, part-time from 9am-2pm Monday to Friday (plus extra cover when needed).

Overall job purpose:

Working as part of the Estate Office team, the role of the Receptionist is to ensure that an excellent standard of customer service is provided to all visitors to the Estate Office and staff. The role will provide administrative support to the PA to the Managing Director as well as the wider management team across the Estate. It will be essential to ensure that the Estate Office presentation reflects our vision at all times.

The ability to communicate effectively and work with absolute discretion, sensitivity and trust are paramount. The role will be based in the Estate Office Reception and must ensure that Reception is covered between 9am and 2pm. The individual will be expected to work flexibly for specific meetings or events.

The following is intended to provide guidance as to the duties but it is not exhaustive.

Specific duties will include:

  • To receive telephone calls into the Estate Office and route around the Estate ensuring that all calls are forwarded quickly and efficiently
  • To take and record messages as required ensuring they are passed on in a timely and accurate way
  • To meet and greet visitors to the Estate Office at all levels of seniority and direct them appropriately
  • To process the daily mail and dispatch as necessary
  • To keep the outbound post up-to-date
  • To proactively prepare refreshments for visitors to the Estate Office, Estate Office meetings
  • To ensure all areas of the Estate Office are kept tidy and presentable at all times
  • To ensure that the office is ready for the next day before you leave each afternoon
  • To maintain the Board Room so that it is presentable at all times which will include clearing the Board Room after or between meetings, polishing the table and washing up dishes
  • To provide change for the cafes/hotel/ticket office/shop To administer gift vouchers, staff discount cards, complimentary car passes
  • To be the main point of contact for all deliveries and ensure that the relevant person is advised so that deliveries to the Estate Office reach the intended person swiftly and efficiently
  • Ordering and distributing stationery for the estate. Maintaining a stationery store in the office.
  • Managing the pool car bookings
  • Cover the Estate Office 9am – 5pm when PA is on annual leave
  • Provide admin support to the Head of HR
  • To undertake additional administrative tasks as directed by the PA to the Managing Director or other members of the Senior Management Team
