Job Title: Receptionist/Assistant Administrator

Location: Henry Moore Studios & Gardens, Much Hadham, SG10 6EE

Full Time Salary: £20,000-22,000 + 12.5% pension contribution

Full Time, permanent: 37.5 hours/week (Monday to Friday 9.30am – 5.30pm)

OR

Part time Salary: circa £10,000 – £11,000 p.a. + 12.5% employer pension contribution

Part Time roles x2: each approx 18.75 hrs/wk worked as 2, 2.5 or 3 days per week to cover (Monday to Friday 9.30am – 5.30pm subject to negotiation)

The Henry Moore Foundation was established by one of the great sculptors of the twentieth century. Today it is the largest artist-endowed grant-giving foundation in Europe.

This is an excellent opportunity to work in a key public facing role in a leading arts organisation.

This post-holder delivers an informative, courteous service to visiting public, contractors, couriers and colleagues; and provides administrative support to the Operations Manager in managing our large country estate.

The Role:

The Receptionist/Assistant Administrator is the public face and central point of information for the organisation at Perry Green, welcoming, assisting and providing a courteous service to visitors and colleagues, whether in person, on the telephone or online.

Responsibilities include but not limited to:

  • Providing a welcoming, professional and efficient reception service, greeting visitors politely, announcing their arrival to appropriate colleagues and co-ordinating refreshments;
  • Ensuring that all visitors to the estate, including contractors, sign in and out; monitoring CCTV cameras; checking the identification of contractors/visitors requiring access through security gates before permitting their entry;
  • Ensuring that all callers, in person or on the telephone, both external and internal, are handled swiftly and effectively;
  • Coordinating estate servicing by booking contractors, and, if necessary, signing off work;
  • Overseeing, instructing and monitoring the work of contract cleaners;
  • Overseeing bookings for onsite accommodation, meeting rooms and vehicles;
  • Maintaining and filing service records;

Person Specification:

We are looking for a calm, professional, well-organised individual with excellent communication skills, a confident telephone manager and a helpful ‘can do’ attitude.

Our ideal candidate will have at least one year’s experience in a reception or customer facing role and will be competent in using Microsoft Office/Teams as well as:

  • Confident and diplomatic in face to face and telephone communications
  • Enjoys working as part of a team, anticipating the team’s needs and offering support as required
  • Helpful, proactive attitude to problem-solving
  • Good literacy and numeracy skills
