Job Title: Registrar

Salary: £80k – £100k per annum DOE

Job Purpose:

The role holder is responsible for delivering Registry services efficiently and to a high standard including student records, registration and enrolment, assessments, transcripts, student complaints and disciplinary processes, and statutory reporting. Building and maintaining strong working relationships with faculty and other professional service staff to ensure college administration operates efficiently, effectively and delivers excellent service to all stakeholders. Records and Fees across a range of operations including service planning, leadership and management of staff within the Academic Records Team, management of academic records, development and review of academic records and enrolment policies and procedures, and delivery of training and briefing sessions to staff across the school in matters relating to academic records and enrolment of students. Additionally, to ensure key priorities in the academic cycle are met and managed successfully and professionally and to deliver a high-quality student experience.

Duties and Responsibilities:

  • Responsible for the management, and related staff, processes and systems, of the following areas of the college:
    • student registration processes, student information system and any successor system;
    • student assessments;
    • individual student academic records;
    • formal student procedures, including complaints, appeals, disciplinary matters, change of programme, breaks in study, withdrawals, progression and awards;
    • liaison with the Student Loan Company in relation to student registration and fees (if/when required);
    • student and graduate statistical reporting, analysis and statutory returns;
    • production of confirmation of enrolment, council tax and bank letters for students;
    • production of transcripts and diplomas.
  • Provide overall management of the Registry to ensure that systems and processes are reliable and efficient while meeting the needs and expectations of students and staff.
  • To actively manage Registry processes to deliver excellent, efficient and timely services, leading change where necessary to adapt to institutional development and the delivery of its strategy.
  • To actively contribute to the development of wider college policies, processes, and procedures to ensure that the University is compliant with the OfS, OIA, Designated Quality Body, Designated Data Body and other regulatory bodies’ standards and achieves high rankings in the National Student Survey and other student surveys as relevant for the University.
  • Lead, develop and manage staff within Registry, providing a professional working environment that promotes a culture of continuous improvement and enables staff to perform to their full potential, and ensuring staff are supported and encouraged to upskill, change and adapt to keep pace with institutional developments.
  • Manage, conduct and participate in various college committees, steering groups and working groups.
  • To maintain a working knowledge of Further and Higher education sector developments and good practice in relation to the Registry’s areas of responsibility.
  • To be responsible for creating termly timetables for students.
  • To manage all school student records and timetabling systems, working with internal customers, university partners and external regulators.
  • Maintaining accurate student record files (both physical and electronic) in the filing cabinets and on Student Management System (SMS)
  • To effectively manage the school academic calendar.
  • To attend college, partner University, other awarding bodies and diverse additional external meetings, as appropriate, to ensure areas of responsibility are represented and reported.

Skills and Experience

  • Experience in a tertiary educational setting
  • Have some experience in a minimum of three of the following areas: Admissions, Student Registration, Student Records, Graduation, Student Support or Institutional Research
  • A high level of proficiency in the use and management of student record information systems; preference will be given to those who have worked with the similar student management system
  • Working knowledge of statistics
  • Strong organizational, analytical and problem-solving skills
  • A high level of professionalism and ability to maintain confidentiality
  • A high degree of computer literacy
  • Highly developed organizational, communication and presentation skills
  • Strong management or leadership skills as exhibited by experience in effectively leading a team
