Job Title: School secretary / School office administrator

Location: Noddy’s Nursery School, Beaumont Road, SW19 6SP

Salary: £30,000 – £42,000 + £3,000 bonus subject to experience.

Job type: Full time.

Start Date: ASAP

Noddy’s Nursery School is a family run business that was established in 1985.

It currently operates over 2 sites, in Putney and Southfields. We offer high end childcare to around 210 children and employ 85 staff.

The Role:

We are looking for an intelligent, charming and proactive individual to assist with the day to day running of the two schools from an operations/office administrator perspective.

Key parts of the role include dealing and selling Noddy’s to new potential clients, ensuring that current parents are kept happy, communicating important information across the business and assisting in the day to day operational side to ensure that the two schools run as smoothly as possible.

Overseas candidates will NOT be considered for this role. We are not sponsoring Visa’s at this time, so please refrain from applying unless eligible to work in the UK

Key Responsibilities and Accountabilities:

New parents/potential parents

  • Answer emails in relation to queries about availability, fees, any other queries that
  • parents have etc.
  • Sell the school to these new potential clients in a professional manner.
  • Book these parents in for show arounds, send registration forms, email prospectus.
  • Acknowledge and file new registration forms.
  • Keep waiting list updated.
  • Send offer letters to parents that have agreed to join & monitor bank accounts for deposits that have been paid.
  • Assist office manager with all matter regarding sessions, helping to optimise space and sell places accordingly.
  • Ensure paperwork for new starters has been received.
  • Photocopy new starters reg forms and pass to mangers.
  • Create peg and tray labels for children each term and as and when required.

Current parents

  • Pass on relevant information received via email to staff e.g. Children absent/illness/teething etc.
  • Answer phone calls/emails in a polite and professional manner.
  • Answer queries from parents and staff.
  • Assist Office Manager & liaise with Senior Managers on moving children up classes.
  • Prepare and send moving up letters this normally happens once a term.
  • Send Mailchimps to parents including monthly newsletters and memos.
  • Keep current children and parent’s information updated in iConnect.
  • EECP funding – keep updated, answer queries, send and monitor return of signed forms.
  • Update holidays for children on iConnect and inform mangers.
  • Compile late late fees and email parents for payment.
  • Extra sessions booking and chasing for payment.
  • Compile monthly payments to be made where required

Day to day – Running of the school

  • Monitor the mail office inbox and deal with emails accordingly.
  • Compile monthly charts & registers.
  • Create and design class worksheets and forms, summer and Christmas show programmes as and when required.
  • Keep iConnect (nursery software) up to date on a daily basis – communicating with staff re pickups etc.
  • Update iConnect on a termly basis with new starters, leavers, room changes etc.
  • Assist with fees.
  • Assist with ccv allocation and enquires.
  • Assist with fee queries and changes.
  • Order cleaning supplies, stationary, art supplies, nappies, office supplies etc.
  • Envelope wage slips and distribute when required.
  • Open post and deal with accordingly.
  • Post the mail.
  • Upload invoices received to Receipt bank following approval for payment.

The Candidate:

  • Candidate must have a good team work ethic, excellent time management skills and use their initiative to problem solve where necessary.
  • Candidate must have an excellent manner on the phone. Some parents can be a
  • little tricky!
  • Candidate must be able to write excellent emails to respond to complicated queries.
