Bruton Knowles LLP is an independently owned Chartered Surveying practice who provide a comprehensive range of surveying and property services. Our geographic reach covers the whole of England and Wales with clients in utilities and infrastructure, valuation, commercial, planning and development, and rural.

The Position:

Bruton Knowles is currently recruiting a Senior Administrator to join the successful Team of Chartered Surveyors based in our Plymouth office. This is an exciting opportunity to play a pivotal role supporting a busy, high performing team to assist with a wide variety of property consultancy instructions and client development.

The role will enable a candidate with experience and a keen interest in property, to build on their strong administrative background and develop their skills in a property environment and the opportunity to showcase their client facing and problem-solving skills.

Main Responsibilities, Tasks and Key Duties:

  • To assist in the Team’s delivery of services to clients, accurately and on time
  • Attending meetings and site as required
  • Typing of reports, minutes and correspondence. (Audio typing capability is preferred.)
  • Undertaking research for reports and preparing electronic plans
  • Co-ordinate local Marketing and PR articles and help organise events
  • Manage clients and documents using our IT systems and processes
  • Typing and preparation of research for reports and electronic plans
  • Generate and analyse data for internal reporting
  • Develop and manage a contact database
  • Manage debtors and work in progress
  • Day to day calendar management of the team and supervision of Administrators
  • Organising and attending meetings and ensuring the team are appropriately prepared
  • Co-ordinating the team to deliver items allocated to them
  • Completing any reports by preparing research, briefing papers, reports and presentations
  • Contribute to the management and efficiency of the office in liaison with others
  • Dealing with third party contractors and consultants
  • Attending sites and offices as required

The Candidate:

The job will require someone who has an interest in all property matters with excellent IT, analytical and problem-solving skills. The role will require attention to detail when looking at documentation, databases and plans, and the candidate must be able to demonstrate accuracy in reporting. A great communicator with a “can-do” attitude and someone who has some secretarial or equivalent experience would be well suited to this role.

Knowledge, Skills and Abilities:

  • GSCE English and Maths grade C and above
  • Technical Administration experience
  • Excellent interpersonal and communication skills
  • Confidence to communicate effectively at all levels both orally and in writing
  • Able to influence the team in providing efficient client services
  • Personable style with the ambition to develop your career as we grow our team and client base.
  • Ability to coach and mentor less experienced colleagues
  • Have experience in managing fees, invoices and general financial management
  • Able to work in an organised and methodical manner
  • High level of attention to detail and strong report writing skills
  • Manage time effectively, prioritising tasks to ensure deadlines are met
  • Learn new skills and working methods and be adaptable to change
  • A proactive approach to work, with a strong team working ethos
  • Audio experience would be desirable but not essential
  • Excellent IT, Analytical and Mathematical skills
  • Driving Licence and access to a car.

The Plymouth team carries out instructions from a wide range of private and public sector clients. The day-to-day workload includes, property management, lease consultancy, agency valuation and business rates work. The team also support other company wide clients such as building surveying, utilities and infrastructure.
